When should you refer to this Guide?

This Guide is a Reference for situations where you want approval requests made by Leaders — for Leave, Annual leave promotion, and Overtime approval steps — to be routed to Leaders from upper groups instead of an Admin.

The following are cases where a Leader's approval request is sent to the Admin.

Approval steps policy overview

When the approver is set to 'Leaders from assigned groups', the system behaves as follows.

  • The group Leader themselves submits a Request that requires approval
  • Self-approval is not allowed
  • The Leader is the only Leader in that group

👉 In these cases, the system determines that there are no Leaders in the group who can process the approval, and the approval request is sent to the Admin.​

Changing Group Settings

In Shopl, when Leader permissions are granted, management permission for that group is automatically created as well.

If you want a Leader's approval request to go to a Leader from an upper group instead of the Admin, you need to separate the Leader and Employees into different groups.

Unified group – Cases where a Leader's approval request is Sent to the Admin

In the case of Leader Emily in Operations Team 1, she has Approval permissions for all Employees in the same group by default.

However, when Emily herself submits a request for Leave, Annual leave promotion, or Overtime, the system determines that there are no Leaders in her assigned group who can process the approval, and the request is Sent to the Admin.

Separated groups – Cases where a Leader's approval request is Sent to Leaders from upper groups

This is an example of separating groups so that Emily's approval requests are Sent to Leader Jane.

In this case, along with the group separation, Approval permissions for each subgroup must be separately granted to each Leader (Jane and Emily).

By separating the groups and Granting Approval permissions separately as described above, Emily's approval requests will no longer be Sent to the Admin, but will instead be Sent to Jane, the Leader from the upper group.

Setting Approval permissions for a Specific group

Granting a Member Leader permissions for a group other than their own assigned group is possible from the Edit member info page.

  • Dashboard (PC) > Manage members > Edit member > Edit groups and permissions.​

Verifying the Approval Process After Completing Settings

Once you have completed the group separation and Granted Leader permissions for the Specific group, approvals will proceed as follows.
