Viewing Leave Status & Usage History

NOTE
Admins can view leave status and usage history for all employees. Leaders can view this information only for employees within their assigned groups.

1. View leave status & usage history on Dashboard (PC)

▪️ View overall leave status

  1. Go to Dashboard (PC) > Leave.
  2. Select the Status tab.
  3. Select All to view the status of all leave types.
  4. You can check each member’s Used and Remaining leave.
  5. Clicking a leave number opens that member’s detailed leave status page.

B. Set base date

  • When viewing the current year, the base date is automatically set to today.
  • When viewing a past or future year, the base date is set to the last day of that year.
  • You can change the base date when you need to check leave status as of a specific date (e.g., for payroll or leave settlement).

C. Select leave types to view

Click the filter icon next to the search field to select which leave types you want to display.

D. View advanced (borrowed) leave

If a member used leave in advance, the advanced-used portion appears in red under Used.

Hover your cursor to see how many days were used in advance.

▪️ View a specific leave type

  1. Go to Dashboard (PC) > Leave.
  2. Select the Status tab.
  3. Under All, select the leave type you want to view.
  4. You will see leave status by member for the selected type.

B. View leave policy

Click Leave policy on the right side of the selected leave type to check:

  • Eligible members
  • Grant method
  • Usage rules, etc.

C. Set display unit

Select the Unit option to choose how leave status should be displayed:

  • Default: Shows in 00d 00h 00m format
  • Day: Shows in days; less than 1 day appears as a decimal
  • Hour: Shows in hours; less than 1 hour appears as a decimal
  • Minute: Shows in minutes

⚠️ NOTE

Leave types created before Nov 5, 2025 can only be displayed in days.

Even if a leave type was created after this date, if hour was not selected as a usage unit, it will still display days only.

D. Leave status definitions

  • Carried over from last year: Leave unused from the previous year that is still available.
  • Granted this year: Leave available starting this year (leave that becomes available after the base date is excluded).
  • Used: Leave used up to the base date (advanced use is shown separately).
  • Scheduled: Approved leave that will be used after the base date (advanced use shown separately).
  • Pending: Leave requests awaiting approval (advanced use shown separately).
  • Expired: Leave that became unavailable because the usage period (including carryover expiration) ended.
  • Even if a leave is marked as expired, employees can still submit a leave request for past dates as long as it is within the valid usage period.
  • Remaining: Leave available as of the base date. (Displayed only when the base date is not year-end.)
  • Carryover to next year: Leave remaining at previous year-end that is available in the next year. (Displayed only when the base date is set to last day of a past year.)

▪️ View leave status by member

Click Total or any leave value for a member to view their leave status in detail.

You can check:

  • Each leave type
  • Leave availability periods
  • Separate rows for advanced use

▪️ View usage history (PC)

  1. Go to Dashboard (PC) > Leave.
  2. Select the Usage history tab.
  3. The usage history for All leave types appears.
  4. You can choose a specific leave type to filter the results.

B. View leave policy & display unit

Refer to the Status tab instructions above.

C. View leave request/approval details

Select an entry to see detailed request information.

If the leave was directly assigned by the leader (not requested by the employee), the leader/admin can edit it through Schedule Edit.

D. View usage history by member

Click the member information section for any usage entry to view leave usage history for that employee.

2. View leave status & usage history in Leader Mode (App)

  1. In Leader Mode, tap Menu at the bottom.
  2. Select Leave.
  3. You can view how many days your team members have used during the selected period.
  4. Tap a specific employee’s leave usage to view:
    • Their leave status
    • Detailed usage by date
