How HR Teams Can Automatically Consolidate Employee Reports

How HR Teams Can Automatically Consolidate Employee Reports

🤔 Every end of month, the same cycle repeats: chase employees for Reports, follow up on who hasn't submitted, collect files in five different formats, then spend hours manually stitching everything together in a spreadsheet.

The bigger your team, the worse it gets. Late submissions, inconsistent formats, and constant back-and-forth over WhatsApp eat up time that should be spent on actual operations.

There has to be a better way to collect, organize, and access Report data — without the manual grind.

👉 Shopl's Report feature handles everything from collection to consolidation to Download — in one place.

1. Who This Is For

  • HR and Operations Managers who collect the same Reports from multiple employees every month and spend hours compiling them
  • Team leads frustrated by inconsistent submission formats that require extra cleanup work in EXCEL
  • Regional or store managers who need to quickly pull Reports by Department, date range, or submission Status — and actually use the Data

2. Collecting Reports from Multiple Employees — Without the Chaos

▪︎ Set It Once, Stop Chasing Every Month

Sending out reminder messages over WhatsApp or manually tracking who needs to submit what by when — that's overhead you shouldn't have to manage.

In Shopl, you set the submission schedule once when creating a Report form: define who needs to Submit (Eligible employees), and choose a Weekly or Monthly Repeated cycle. After that, submission requests go out to employees automatically on the dates you specify — no manual nudging required.

You get a live view of who has submitted and who hasn't, so instead of sending follow-up messages, you can see the Status at a glance and act on it immediately.

▪︎ Find Exactly What You Need, Fast

When hundreds of Reports pile up over months, finding a specific submission becomes its own problem.

Shopl keeps all Reports of the same type in a single Report folder, so you're not hunting across folders or inboxes. Within each Report folder, you can apply Filtering by date range, employee, Workplace, or submission Status — narrowing down to exactly what you need in a few clicks.

Want to see only This month's Reports from one Department? Or quickly identify which employees still haven't submitted? Both take seconds, not a spreadsheet audit.

▪︎ Export Multiple Employees' Reports to EXCEL in One Go

Opening Reports one by one and copying data manually into a master spreadsheet is exactly the kind of work that kills an afternoon.

With Shopl, you select the Reports you need and export them — all employees' submissions are consolidated into a single EXCEL file automatically. The Data is already structured, so you can go straight to sorting, Filtering, or analysis without any reformatting.

What used to take half a day now takes a few clicks.

3. Frequently Asked Questions

Q. When I export Reports to EXCEL, does each employee's Data get saved on a separate sheet?

A. Yes — when Downloading, select the Report type by employee option and each employee's Data will be saved on its own sheet.

Shopl supports multiple Report export types, so you can choose whichever format fits your workflow best.

Q. If I Edit a Report form, will previously submitted Data change as well?

A. No. Reports already submitted are preserved exactly as they were at the time of submission — they stay tied to the Before version of the form.

Any changes you make will only Apply to Reports submitted after the Edit. Your historical Data stays intact.

End-of-month Report collection doesn't have to mean hours of chasing, compiling, and reformatting. With Shopl's Report feature, you set submission rules once, collect automatically, and Download consolidated Data whenever you need it.

Less time managing spreadsheets. More time acting on the Data that matters.
