​The items you need will vary depending on vehicle type and operating environment. A standard pre-trip inspection form typically covers the following:

  • Vehicle information: vehicle ID or registration number
  • Driver information
  • Date and time of inspection
  • Odometer reading
  • Exterior condition: body, mirrors, windows, and windshield
  • Lighting and signals: headlights, turn signals, brake lights, etc.
  • Tyre and wheel condition
  • Brakes and steering
  • Wipers and washer fluid
  • Interior safety items: seat belts, horn, etc.
  • Cargo area and load condition
  • Defects or abnormalities noted
  • Actions taken and reporting details

▪︎ Two Things to Keep in Mind When Managing Pre-Trip Inspections

1. Don't just tick the box — record the details when something's wrong.

​A 'defect found' tick on its own tells you nothing about what happened next. When an issue is identified, record the location, the nature of the problem, and any action taken or reported. This ensures that even if the responsible person changes, the follow-up can be tracked without starting from scratch. If the defect is safety-critical, follow your company's vehicle operation and maintenance procedures to determine whether the vehicle should be driven, and notify the relevant person immediately.

2. Keep inspection records consistent across all vehicles.
