How Supervisors Can Convert Paper Reports to Digital

🤔 The more stores you oversee, the more report collection becomes a weekly headache.

Some stores send in paper forms, others snap photos, and some just fire off a message — no two look the same. Figuring out who actually submitted and who didn't is nearly impossible at a glance, which means missing Items often go unnoticed until it's far too late. Sound familiar?

👉 Replace those scattered paper forms with Shopl's digital [Report] feature.

Submission formats become consistent across every Store, and you get full visibility into each location's Submit Status — all in one place, without the back-and-forth.

1. Recommended for you if…

  • You're a supervisor managing multiple Stores and drowning in weekly report Tasks
  • You're manually compiling Reports from each Store every week because there's no standard format
  • You're spending valuable Time chasing down Not submitted Stores one by one

2. Manage Reports the easy way with Shopl

▪︎ Familiar format, fully digital — ready to use from day one

Build the exact Report forms your Stores need, digitally. You can mix and match response formats — Text fields, Checklists, Image attachments — to match how each Store actually operates.

If you already have a form you rely on, simply replicate that structure and Apply it as-is. Store managers and their teams can start filling out Reports on the app without any special Education — because the layout looks just like what they already know. Less friction on the floor means fewer excuses for missing submissions.

▪︎ Submit Reports in seconds — from the app or web

There's no complicated process for store staff. The form your supervisor set up appears exactly as configured, so Employees simply work through each Item and hit Submit.

Submitted Reports are instantly accessible on both the app and the dashboard — so staff can review their own submission history at any time. When the reporting process is this Simplified, submission rates go up and follow-up chasing goes down.

▪︎ Reporting runs on schedule — without constant reminders

When creating a form, you can pre-configure details like Created by, submission Day of the week, and Recipients. Once that's done, report requests go out Auto at the right time — no manual nudging required.

You can also assign To be submitted targets by Store, so location-specific Reports run independently without cross-contamination with other sites.

▪︎ See every Store's submission Status at a glance

Filter submission records by Period, Representative, or Store — all from one screen. Instead of calling around every week to track down who submitted what, a single look at the dashboard tells you everything.

Need the data offline? Hit the Download button to export any Report as an EXCEL file.

3. FAQ

Q. Will I get a Notification if a store manager hasn't submitted their Report?

A. Yes. When you set a submission Schedule in advance, a pop-up Notification is Auto Sent before the deadline — so nothing slips through the cracks.

You can also check Not submitted Status at any time directly from the Report Admin screen.

Standardizing your report templates is only half the job. To actually break free from the weekly grind of chasing down submissions, you need to see at a glance who's submitted and who hasn't.

Shopl covers the whole process — from converting paper forms into digital templates, to tracking submission status by store, to flagging stores that haven't submitted yet.
