​Employees swapping shifts with coworkers is a normal part of running any shift-based operation. The problem is when those swaps happen over group chats or verbal agreements—with no formal record and no manager sign-off.

​When that happens, teams run into the same issues over and over:​

  • No clear record of who agreed to cover which shift
  • Managers finding out about changes after they've already happened

​At a minimum, include:​

  • Employee information: name, employee ID, and department
  • Original shift details: date, time, and assigned role or duties
  • Replacement shift details: date, time, and assigned role or duties
  • Information on the employee covering the shift
  • Reason for the shift change
  • Confirmation that both employees agree to the swap
  • Manager approval: approving manager's name, signature, and date
  • Additional notes or comments

If your location requires specific roles or certifications, make sure the covering employee is actually qualified to perform the duties before approving the swap.
